The Addressing pop-up (indicated by a pen writing on an envelope) on the front page allows you to view a list of all the current recipients you have selected. It also gives you access to your Address Book.
If there is a number in the Addressing pop-up menu box, this indicates the current number of recipients you have chosen for the mail you are composing. If you click on this pop-up, you will see an “Address Book” option followed by a list of all the current recipients. There is also a “Clear All Recipients” option, with which you can remove all of the currently selected recipients.
The “Address Book” option will bring up the Address Book window. From this window you can choose users who aren’t on your User List to be the recipients of the mail you are composing, hide or show users on the User List, and give users nicknames that appear on the User List.
The list of addresses on the left side of the window is your address book. Snap Mail automatically keeps track of all people who are running Snap Mail on the local network, and as people are added to your network they will automatically show up in this list. However, if you are using Snap Mail with any gateways that hook you into other mail systems, you will see that there is a “Services” pop-up tab above the address list. If you are connected to other services via Snap Mail, read Appendix XXX, “Using Services with Snap Mail,” for information on how to use them. This part of the manual assumes you are only using Snap Mail on a local network.
If the name listed in the Address Book is a nickname, the actual user name will appear in brackets following the nickname. Next to each name may appear a diamond, which indicates that this user’s computer is not currently on. Sometimes a filled-in square will appear next to a user’s name. This indicates that this user’s computer is acting as a server. If you see a hollow square, this indicates that the user’s computer was acting as a server but has shut down.
Under the address book, there are five buttons.
• Delete
You may delete users from your Address Book. However, you should realize that they will pop back onto the list if they are active people on your local network. This button is most useful for deleting people who are no longer using Snap Mail. See the “Hide” and “Show” buttons to learn how to remove names from the main window’s User List.
• Edit
To edit an address entry, select the address and click on the “Edit...” button. A window will pop up that allows you to create a “nickname” for the selected user. If you enter a nickname, then this name will be the name that appears on your User List. This allows you to have your own pet names for other users on Snap Mail. Don’t worry - they will never know the nickname that you have chosen for them (unless they see it on your Mac).
• Lookup
This button performs a full network scan to look for Snap Mail users. This should only be used if you have somehow lost your connection to the network and Snap Mail isn’t able to send or receive mail.
• Hiding and Showing Users
Snap Mail automatically adds new users to your address book as well as your User List (the list of users displayed on the front page). It may be the case, however, that there are some users on your system to whom you rarely if ever send any mail–for example, people you don’t even know. These names just clutter up your User List and make it hard to find the people to whom you really want to send mail. You can use the buttons “Hide” and “Show” to hide or show users on your User List. People who are currently visible on your User List will have check marks in front of their names in your Address Book.
• Selecting Mail Recipients from the Address Book Window
Since some of your available addresses may not on your User List because you have hidden them, you may sometimes need to open the address book to add recipients to the mail you are sending. All current recipients of a mail item will appear on the right side of the Address Book window in the “Recipient List.” This list includes any recipients you have selected from the main window.
You can choose recipients from your Address Book by selecting the appropriate names and then clicking on the “To,” “cc,” or “bcc” buttons. This will add these people to your Recipient List. Double-clicking on a name will also add the name to the Recipient List as a “To” recipient.
To remove some users from the current recipient list, simply select the users and click on the “Delete” button. These users will no longer be recipients of the mail message you are currently composing.
Use the “OK” button to exit this window and return to the main window, or use the “Cancel” button to exit and cancel all of the changes you have made since entering the window.
